Auction is just a month away. Many of you have let me in on your great ideas and I’d like to extend a big thanks to those who have given wonderful items to the auction so far. It’s now time to wrap up the procurement process and get your donations in. There’s still plenty of room for your offering s of services and lessons, artwork, gift sets and re-gifts, and handmade goodies. The instant wine cellar is shaping up nicely. Get your bottle in early to be on the list or bring it the night of the auction to make it a surprise! If you have your something special ready and waiting bring it in this week. I’ll be hanging out by the office in the morning and afternoon. If you need a bit more time to add the finishing touches or would like to pick up something neat while on vacation please bring in your items the Monday we come back, February 22, 2010. We still need more people to volunteer the night of the auction. A sign-up sheet is outside the office or e-mail Holly at hollybranch@likeonatree.net. New this year is onsite childcare provided by the Seattle Civic Dance Theatre’s Concert Dancers. More information and the sign-up form can be found on the auction website. Shauna Bennett is the person to contact about this at paulnshauna@comcast.net or 206-938-1932 if you have any questions. 50/50 raffle tickets will be sold outside the school for the two weeks prior to the auction. If you just can’t wait or want to help sell tickets contact Joelle Craft at faerieswithin@yahoo.com or 206-383-7566. You can borrow booklets to sell to friends and family before hand or at the auction. A variety of sweet treats and tasty tidbits is of course on the menu. It's your friendly neighborhood Auction Procurement Chair, Anita Schumacher, here. The Auction is rapidly approaching and your invitations are on their way (if not arrived). I'm here to tell you that it's not too late to help, donate or procure something. We're looking for a few things to help round out our items. Our wish list includes: Big Boy Toys, Overnight stays, Unique Services, your (or your friends) Artistic and Craftsman talents and of course Wine cellar contribution. A list of wine suggestions has been put up at the QFC in Westwood Village if you are in need of ideas. I'm interested in any and all of your unique thoughts.

We are also looking for help! We need people to volunteer the night of the auction. A sign-up sheet is outside the office or e-mail Holly at hollybranch@likeonatree.net. And people to follow up with business in the Alki area. It's really easy and can be fun if you like to get to know the local merchants. You just call or go into a handful of shops to remind them of our letter that was sent out and ask them to donate. If you have something to donate, download and fill out the Procurement Form, and drop off your donation and form at the Gatewood office. Blazy's Bed & Breakfast

Blazy’s Bed & Breakfast has been in operation since 1995 and is located in the heart of Soldotna, Alaska, on the Kenai Peninsula, within walking distance from the world famous Kenai River. Today's the day! Here is what to expect when you arrive:

Check-In and Silent Auction Bidding
After check in, help yourself to a drink and an hor d'oeuvre as you mingle among friends. Browse through the silent auction tables to find art, tickets to events, wine and cocktail baskets, birthday party ideas, toys, books, music and more. Auction items will close for bidding in four groups. Browse all the items in each silent auction to prepare for bidding: Barroque silent auction items, Civetta silent auction items, Beauty & Jewelry items, Commedia dell'Art silent auction items.

Get Your Golden Mask!
Before the silent auction ends, be sure to purchase a mask from one of the many mask sellers in the silent auction area ($25.) If your mask is the Golden Mask, you will be awarded any one LIVE auction item of your choice (including team art) at no cost!

Gatewood Adventures
Next, be sure to visit the Gatewood Adventures. Each adventure is coordinated by a Gatewood staff member or parent and you can find sign up sheets for each adventure in the silent auction room. Hurry, spaces for each are limited!

Pictures!
Gail Ann, of Gail Ann Photography will be snapping photos during the silent auction portion of the evening. Ham it up - all pictures will be placed online for free download and lots of auction memories.

Get Ready for the Bid Event...
After all silent auction tables have closed, head up to the dining area for a meal and more fun. Check out the menu and if you ordered a vegetarian item, be sure to ask a server for your plate.

LIVE!
When everyone is settled in, the live auction will begin. Auctioneer Matt Smith and Gatewood teacher Jeff Case will guide you through the excitement of a live auction. You'll have a chance to bid on exciting adventures and priceless team art. A presentation and short movie, "Small Matters," is also on the agenda. Get to know what's up for bid before you arrive with this list of Live auction items.

Why do we have an auction?
Gatewood Elementary PTA has made a commitment to small class sizes. The PTA has helped to achieve this goal by paying part of an additional teacher’s salary each year. We have many fundraising events, including a Sally Foster gift sale, a holiday wreath sale, a cookie dough sale, gift card sales, and an auction. In the last four years the auction has brought in $124,500 which is 55% of our total gross fundraising dollars.

Do other schools have auctions?
Almost all of Seattle’s independent, co-op and public schools hold annual auctions.

What are the goals for the auction?
The goal is to have fun while supporting our school! There will be lots of friends, food and drinks in a festive setting. Our financial goal this year is to raise $40,000 in gross sales.

Can I find a bargain at the auction?
Bidding for items typically starts under value so there are chances to get something for less. However, the idea of the event is to raise money for the school. Remember that each item represents not only the items value but also many volunteer hours to include it in the auction. Each dollar you “save” is a dollar less for Gatewood.

Will there be anything I can afford to buy?
There are items to fit all budgets. Items are valued as low as ten dollars and up to a couple of thousand dollars. Raffle tickets, gift certificates and fund-a-need items are all opportunities to participate at a level that is comfortable for you.

Can everyone participate in the auction?
Yes! You can participate by helping to plan or prepare for the auction, by donating or procuring an auction item, by attending the auction, or all three! There are many critical volunteer jobs to be filled to make this event a success without a financial commitment. Any and all contributions are welcomed and appreciated. The auction is also an opportunity to involve our family, friends, neighbors and community partners in our fundraising.

Do I have to go to a meeting?
No! We do have regular meetings to come together to check in on the auction progress, brain storm for ideas and to socialize with other parents. However, it is not necessary for you to come to a meeting in order to help. We use email, the school website, Gatewood’s newsletter and phone calls to follow up on what is needed and give information about the auction. We understand that people have busy lives outside of Gatewood and are grateful for any help offered.

What jobs need to be filled?
Are you a good PR person? Do you have a knack for getting people to donate their goods and services? Are you into design and want to help with the catalog, invitations and thank you notes? Are you just a great worker bee that wants to fill in wherever there is an opening? Do you excel at excel spread sheets and love data entry? Can you help with class art projects? All these opportunities and more are available. Whatever your interest or talent we will have a space for you on the 2008-2009 auction team.

Dream Team Mosaic

From the Dream Team comes scenes of a summer dream done in glass and wood. Using glass gems on a weathered eight-paned window, each pane has been kid-designed to represent a different and yet delightful sight of summer. How the Auction Works - Rules and Regs

Registration

Upon entry, each guest will be given a bid card with a unique bid number. Keep your number with you at all times; your bid number is necessary for both th silent and live auctions. Bids are not valid without the correct bidder number. By bidding in the live or silent auctions, each bidder agrees to these auction rules.

Express Checkout

To avoid lengthy checkout lines at the close of the evening, sign up for Express Checkout at registration. Here's what you do:

* The registration personnel will take one imprint of your VISA or MasterCard and you will sign it. Or, you may provide a signed, blank check made out to “Gatewood PTA.”

* During the live auction, runners will bring you copies of any bid sheets on which you have been the successful bidder for both the silent and live auctions.

* You may then pick up your items when you leave the Auction, using your bid sheet as proof of purchase.

* Within the next week, you will be mailed a copy of your completed credit card slip. If you make no purchases, your original voided check or credit card form will be returned to you by mail.

* If you choose not to use Express Checkout, you MUST check out and pay for your items prior to collecting them.

Silent Auction

Items offered in the silent auction will have bid forms on the table nearby with their catalog number on the bid form. You may bid by writing your BID NUMBER and your BIDDING AMOUNT on the form. If the minimum bid is not observed, the bid is void.

There may be a “buy it now” price on a silent auction item. In this case, the item may be purchased for the “buy it now” price by placing your bid number in the box provided. If you choose to put your bid number beside the “buy it now” price, you own the item and bidding for that item ends.

You may bid on any item in the silent auction until the section is closed at the time posted. A silent official will circle the top bid number and amount, which will constitute the final bid. You can see if you are the successful purchaser by looking at a copy (pink) of the silent bid form, which is left in its place after the section is closed. Certificates and receipts will be delivered to purchaser upon payment, if purchaser has Express Checkout, or made available for pick up. Auction officials will assist you in removing items from the display tables. The bid acknowledged by the official is legal contract to purchase that item.

Live Auction

You may preview the live auction items throughout the evening until the live auction begins. Please not any restrictions, limitations, sizes, etc.

When bidding, hold your bid card toward the Auctioneer. The highest bidder acknowledged by the Auctioneer shall be the purchaser. The Auctioneer's decision is FINAL. A bid acknowledged by the Auctioneer is a legal contract to purchase the item. The Auctioneer reserves the right to reject any bid which is a minimal fractional advance over the prior bid.

Payment

All sales are final and there are no exchanges or refunds. We will gladly accept your payment by currency, check, VISA or MasterCard. Payment in full is mandatory at the auction. Checks should be made payable to “Gatewood PTA.” Winning bidders can pay for their purchases with the cashier at the close of the live auction or sign up for Express Checkout at registration. All Auction items will be awarded to one purchaser only. The top bid for an auction item will not be split among bidders who may have agreed to pay a portion of the top bid amount. A purchaser who wishes to split the payment for an auction item must collect the individual payments from the other bidder(s).

Limitations

All items and services must be claimed and used within one year of the auction date unless otherwise noted. Reservations for trips, accommodations and tickets must be mutually agreed upon with the donor unless otherwise noted. Tickets in travel packages are for coach class unless otherwise noted. No refunds will be allowed on travel packages for canceled tickets and/or accommodations. Restaurant items DO NOT include liquor, gratuity or Washington State Sales Tax unless otherwise noted. Other restrictions may be noted on individual gift certificates. Gatewood PTA reserves the right to withdraw any items from the auction prior to bid.

Removal

The purchaser assumes the responsibility to locate and remove purchases from the auction premises. Purchasers must show paid receipt to receive the certificate or item. All items not removed from the auction premises this evening may be claimed during the week following the auction at Gatewood Elementary by appointment. Please contact Nicole Sipila at Gatewood Elementary to arrange a mutual pickup time.

Warrantees

Gatewood PTA has attempted to catalog and describe the property correctly, but all items are sold “as is.” Gatewood PTA neither warrants nor represents, and shall in no event be responsible for the correctness of description, genuineness, authorship, provenance or condition of the property. No statement contained in the catalog or made verbally at the auction or elsewhere shall be deemed to be such a warranty, representation or assumption or liability for tax purposes or fair market value. Items have not been appraised unless otherwise noted. Fair market value is an estimate of the retail value. Generally, we depend on the donor to give us a reasonable estimate of the item's retail value. ALL SALES ARE FINAL. Each person issued a bid number assumes all risks and hazards related to the auction.

Each bidder agrees to hold harmless from any liability arising therefrom the Gatewood PTA, its elected and appointed officials, members, employees and auctioneer(s), the event organizers, sponsors and/or volunteers connected with the auction.

Tax Information

In 1989, the IRS granted Gatewood PTA charitable organization status, under 501(c)3. Any deductibility of monies spent are governed by IRS regulations. Please consult your tax advisor for any further information.

Anderson Island Getaway

Enjoy a week (7 days/6 nights) of beachcombing, sunsets, biking, rowing and more in this waterfront cabin on South Puget Sound's Anderson Island. This waterfront cabin comes with three bedrooms plus a bunkroom and two baths. The ferry departs for Anderson Island from Steilacoom, near Tacoma. Mutually agreeable dates, not available in July.
